Overview
We are seeking a highly organized and proactive Administrative / Marketing Assistant to support the daily operations of our design studio. This in-office position offers a dynamic role with responsibilities spanning administration, marketing, accounting, and business development.
Key Responsibilities
Administrative Support

Update and maintain project information in project management software.

Set up new projects in Autodesk Construction Cloud.

Draft and manage AIA contracts.

Order office supplies and materials as needed.

Coordinate company volunteer events and schedule internal team outings.

Organize lunch and learn sessions with product reps and consultants.
Marketing Support

Assist with regular website content updates.

Create and schedule engaging posts across social media platforms.

Prepare and distribute the firm’s monthly e-newsletter.

Maintain company contact and prospect lists

Maintain and update marketing collateral and image libraries.
Business Development Support

Assist in preparing proposals and qualification packages for new projects.

Coordinate outreach and submissions for RFPs and RFQs, including formatting, artwork production, and consultant follow-ups.

Research new RFP/RFQ opportunities for firm leadership to pursue.

Support execution of CoStar outreach strategies.

Send timely follow-up emails and thank-you cards to prospects and partners
Qualifications

2+ years of relevant administrative or marketing experience, preferably in an architecture, design, or professional services environment.

Strong organizational and multitasking skills with excellent attention to detail.

Proficient in Microsoft Office Suite; Adobe Creative Suite experience is a plus.

Familiarity with social media platforms (Instagram, LinkedIn) and email newsletter tools (such as Mailchimp).

Experience with BIM software (ie: Revit) is a bonus but not required.

Strong written and verbal communication skills.

Must be a self-starter who thrives in a collaborative, in-person team setting.
